• Provide reception and pantry services; 

• Perform receipt and dispatch services, by-hand deliveries; 

• Assist in stores and procurement matters; 

• Provide general clerical support to the office’s operations and general administration, e.g. filing, accommodation, inventory, data input; 

• Assist in maintaining meeting rooms booking, as well as setting up and tidying up of venue before and after meetings and events; and 

• Any other duties as required.

• Lining up meetings and arranging logistics support for supervisor(s) and officers in attending meetings, events, duty visits etc.; 

• Provide secretarial support including answering telephone calls, taking messages, receiving visitors for supervisor(s), typing and filing, etc.; 

• Maintain an up-to-date diary of appointments for supervisor(s); 

• Provide general administration support and liaison with other bureaux / departments and external parties including updating reference materials, arranging claims of reimbursement on expenses and leave and passage allowance, collating returns, drafting routine documents and conducting information search; and 

• Undertaking any other secretarial duties as assigned by supervisor(s).

• Provide daily support on administrative task for store team, including but not limited to license, stationery and supplies orders, staff uniform and namebadge arrangement
• Prepare monthly accrual to Finance team and settle the payment in SAP
• Support retail operations team on part-time staff rostering, incentive and allowance calculation
• Manage the inventory for HK & Macau stores, complete stock transfer in SAP system
• Handle any ad-hoc tasks assigned

• Assist with logistics and setup leading to and during Executive MBA Program class weeks (prepare signage, name tents, name badges, mail folders, materials photocopying and distributions, exam scanning, etc.)
• Assist with setting up exam logistics, classrooms, grand hall, and study group rooms preparation
• Assist with students’ records and filing
• Assist in executing and monitoring the catering activities for events and programs
• Assist with packing and shipping of course materials
• Work with the Student Life and Program Operations Team; assist with special events such as international summer weeks
• Assist with Hong Kong campus special events logistics and setup, as needed

• Handle payment coordination with internal & external parties

• Coordinate with suppliers and customers on premium sourcing and prepare point of sales materials
